Subject: Portrait Fundraiser—Details to Confirm

Hi Tenzin, Our student photography group could offer family portraits to raise money for new camera straps. Families would choose a short appointment after school, and student photographers would work with an adult adviser. We would send each family a digital photograph rather than order printed copies. That should keep our supply list manageable, though we still need to check the room and equipment.

The adviser has reviewed our outline. We cannot announce the event until the principal approves our room request. I put the draft schedule in our shared folder. The appointment cards are on my desk. Once we have approval, we can ask families which times they prefer.

Can the art room accomodate families waiting for their appointments? We should also send a short questionaire about preferred times and group size. Using school equipment is a priviledge, so our plan needs clear responsibilities. The room has flourescent lights, but we can test a plain backdrop before deciding where people should stand. Please check whether the entrance is accessable for guests using mobility devices.

Each volunteer should make a committment to one complete shift. I would recomend pairing a photographer with someone who checks appointments. We should not garantee a finished photograph before we have tested how long editing takes. After each payment, the desk volunteer can email a reciept. Our advertisment should explain the price, the appointment process, and what each family will receive.

We also need a camera maintenence checklist before borrowing anything. Please inspect the straps and tell the adviser about loose parts rather than trying to repair them. We can use practice sessions to decide how much time to leave between families. If you notice another problem, add it to the shared document so we can discuss it together. I would rather revise the plan now than leave volunteers guessing on the day. Could you reply with the task you would like to handle and one question we should ask our adviser? Sincerly, Zarela
