Subject: One More Check Before We Send

From: Mina | To: Darius | Subject: Jump-rope fundraiser plans Hi Darius, Our jump-rope fundraiser is taking shape, but the announcement needs another edit before we send it to students. We want to raise money for new lunchtime recreation equipment. Participants will collect pledges for completing a short jumping session, and volunteers will record the results. No one needs to jump continuously; breaks are part of the plan. Students can also volunteer instead of jumping.

I reviewed the signup sheet during lunch. Wearing a green wristband, each session leader will guide a small group through the warmup. The leaders will receive their wristbands at check-in. Other volunteers will count completed jumps or explain the pledge cards. We should describe these jobs separately so nobody thinks every volunteer has to lead exercises. A clear announcement should let students choose a role without asking us to translate it.

I also checked the equipment list. We need ropes with adjustable handles for students of different heights. The ropes will go in a bin beside the check-in desk, not across the entrance. Please attach the diagram that shows the desk arrangement. That diagram is different from the one showing the jumping stations. I nearly sent the wrong attachment yesterday, but I noticed its title before pressing Send. Could you double-check both filenames?

From: Darius | To: Mina | Subject: Re: Jump-rope fundraiser plans Hi Mina, I can check the attachments tonight. There is another detail worth clarifying: students who return permission forms by Wednesday can join the first session. Students who return them later can join the second session. The deadline changes the session assignment, not whether students may participate. We should keep the deadline close to the action it describes.

For the final message, please explain that families may pledge a fixed amount rather than an amount for each jump. Some families asked about that choice. We also need a sentence telling volunteers when to report, followed by a separate sentence telling participants when to arrive. After we finish the announcement, I will send you a test copy. Reading it as a new participant, you might notice a connection we have overlooked.
